Who needs a Working with Children Check (WWCC) in Pony Club?

All individuals over the age of 18 who regularly attend Pony Club must have a valid Working With Children Check, which is recorded on the MyPonyClub database.  

  • Associate Riding Members are exempt from this rule unless they are coaching.

What is “regular attendance”?

Regular attendance is defined as attending 3 or more Pony Club rallies/activities.

Nominate Pony Club Victoria!

When registering for a WWCC you must nominate Pony Club Victoria as an organisation you work with.

What must my Club do?

Your Club must ensure:

  • all Club Supporters who regularly attend Pony Club are registered on the MyPonyClub database.
  • that all Junior Riding Members have at least one Club Supporter registered on the system.
  • all Coaches who coach at Pony Club are registered on the MyPonyClub database (currently happens via TryBooking)
  • all Officials who officiate at Pony Club are registered on the MyPonyClub database (can send your lists to the PCV State Office)
  • all Club Supporters, Coaches and Officials have a valid WWCC recorded on the MyPonyClub database.

Coaches must register on TryBooking, the State Office is transferring all registration on TryBooking to the MyPonyClub database.  Your Club can add coaches to its Coaches List in MyPonyClub and coaches can log into their MyPonyClub profile and link themselves to the clubs they coach at.  If you would like us to add your Officials just send us a list and we will add them to the MyPonyClub database, you can then create an Officials List too on MyPonyClub.

WWCC Cardholders obligations

Working with Children Check cardholders have an obligation to keep their records up to date.  Change of details include your contact details, organisations you volunteer or working with and jobs you do.

Every WWCC cardholder can log into their check via their MyCheck on the Working with Children Check website to change or update their details.

If you have not nominated Pony Club Victoria as an organisation you volunteer with, you need to update this information on your check.

WWCC is a legal requirement

For many people working or volunteering in Pony Club, the Working with Children Check is a legal requirement.  If you are individually found to be working with children without a current WWCC, but are legally required to have one, you are breaking the law and may be subject to prosecution.  

  • Individuals who do not apply for a check, who are legally required to have a check, may be imprisioned for up to 2yrs or receive a significant fine.
  • Clubs who do not ensure people who legally require a current WWCC, have one, are breaking the law and  can be prosecuted, fines are significant.  
  • The individuals on the Club committee may also be held personally liable for this breech of the law because the Associations Incorporations Act will not protect committee members who act illegally.

VIT or Industry Checks & Pony Club

Pony Club Victoria requires individuals who have industry checks to register with Working with Children Check and nominate Pony Club Victoria as your volunteer workplace.  Although teachers are specifically mentioned by WWCC as individuals who do not need to have a WWCC, Pony Club Victoria requires that you do.  You need to apply for a WWCC and nominate Pony Club Victoria as your volunteer workplace.

If I legally don't need a check, how can Pony Club Victoria require me to get one?

Pony Club Victoria take the protection of children and managing risks very seriously.  Pony Club Victoria are requesting a higher level of compliance to ensure the safety of children in Pony Club.  Our rules and policies do not contravene the laws of the State, they are just requiring a higher level of compliance which we are entitled to do to ensure the safety of our members.
